What is a Rental Application?
A rental application is the screening form a landlord or property manager gives anyone who wants to rent a unit. It gathers identity and contact details, address and employment history, income, proposed occupants, pets and vehicles, and — the part people skip — written permission to verify all of it. It is neither the lease nor an offer of tenancy: it is the evidence you decide on, and the record showing every candidate was asked the same things.

Prepare the lease

Share one link per listing and paste it into the ad, the reply to an inquiry, or the showing confirmation. Link sharing has no monthly cap on the free plan, so forty inquiries cost the same as two, and applicants fill it in from a phone.
Store the signed lease
Submissions land in your dashboard with a timestamp and export to CSV, so you can compare candidates in the order received rather than by who was pushiest. Put the authorization checkbox and a signature field at the end, and consent arrives in the same submission as the data.
What landlords should verify before signing
Before you send a lease for signature, check the details that cause the most disputes later: the tenants' full legal names (every adult occupant who should be on the lease), the exact property address including the unit, the rent amount and due date, and the deposit figure with the conditions for keeping any of it.
Local law matters more in leases than in almost any other agreement — deposit caps, notice periods, and required disclosures vary widely by jurisdiction. Treat the template as your starting structure and adapt those clauses to the rules that apply where the property sits.
Once landlord and tenant have signed, both keep a sealed, tamper-evident copy, and the audit trail records who signed and when. Store it for the full tenancy — and past it, until any deposit disputes or claim windows have closed.
Rental Application FAQs
What can I legally ask on a rental application?
Ask about what predicts whether rent gets paid and the unit gets cared for: income, employment, rental history, prior landlord references, and how many people will live there. Stay away from anything touching protected characteristics — race, color, religion, national origin, sex, disability and familial status are federally protected in the United States, and many states and cities add more, including source of income. The bigger practical risk is inconsistency: asking one applicant about children and not another is what becomes a complaint. General information, not legal advice.
Do I need written permission before running a credit or background check?
In almost every case, yes. In the United States, pulling a consumer report for tenant screening falls under the Fair Credit Reporting Act, which requires the applicant's authorization beforehand and an adverse-action notice if you deny them, raise the deposit, or demand a co-signer because of what the report said. That notice must name the reporting agency and explain how to dispute the file. Build the authorization into the application with a checkbox and a signature.
Can I charge an application fee?
Sometimes, and the limits tighten in more places every year. Several U.S. states cap the fee at the actual cost of screening, require a written receipt, or oblige you to refund it if you never ran a check; a few ban fees outright. Decide before you post the listing and return anything you did not spend. Should I ask for a Social Security number?
Only if you personally order the screening report and can protect the number afterwards. A full SSN sitting in a spreadsheet or an inbox is a liability you volunteered for. Many screening services now accept an ITIN or a passport number, or collect identifiers straight from the applicant through their own portal. If you do ask, ask when you actually order the report, and delete it once you decide.
Does accepting an application create a tenancy?
No. An approved application means you have chosen someone; the lease is what creates the tenancy, and until both sides sign it either one can walk away. If you want to hold the unit while paperwork is prepared, use a short written holding agreement stating the amount, the deadline, and whether the money is refundable or credited to the first month's rent. A verbal understanding has produced a remarkable number of deposit disputes.
Do co-applicants and guarantors fill out the same form?
Every adult who will live in the unit should complete their own application and sign their own authorization — including a partner who moves in later and a roommate joining mid-lease. One shared application means one person signing away someone else's data, which is precisely the consent you do not have. A guarantor is different: they will not occupy the unit but promise to pay, so they need their own income and credit review plus a separate guaranty attached to the lease.
How do I handle proof of income and ID?
The application captures what the applicant tells you; verification happens outside it. Call the employer's published main line rather than the number written on the form, check the previous landlord against public property records so you are not phoning a friend, and request pay stubs through your own email or screening service. tuyaform forms are built for typed answers and signatures rather than document collection.
