What is a Coaching Agreement?

A coaching agreement is the written engagement between a coach — life, executive, career, business, or health — and the client hiring them. It records what the client is actually buying: a number of sessions of a stated length across a defined period, at a stated price, under a cancellation policy both sides accepted in advance. Its second job is boundary-setting. Coaching is not therapy, medical treatment, legal counsel, or licensed financial advice, and this is the document where that gets said plainly, alongside confidentiality terms, refund and expiry rules, and the client's own responsibility for decisions made between sessions.

Set the terms

Put the engagement into numbers first: sessions included, minutes per session, the window the package has to be used within, the fee and its payment dates, and the cancellation notice you intend to hold people to.

Where is the line between coaching, therapy, and consulting?

Coaching is forward-looking and client-led: you ask questions, hold the structure, and the client chooses their own actions. Therapy treats diagnosable conditions and is a licensed activity governed by rules coaching does not touch. Consulting is different again — there the client pays for your answer and your deliverable. Say in the agreement which one you provide, and refer out when something belongs to a licensed professional. What makes a cancellation and no-show policy work?

Pick a notice window you will genuinely enforce — twenty-four or forty-eight hours is standard — and state what happens when it is missed: the session comes out of the package, or it is billed at full rate. Then write the human part down too: one grace reschedule per package, plus a line covering illness and emergencies. The number matters less than applying it identically to everyone. A policy waived for whoever pushes hardest is not a policy.

Should coaching packages have an expiry date?

Most coaches set one, for two reasons. Coaching runs on momentum, and a client stretching six sessions across fourteen months is rarely getting what they paid for. It also keeps your books honest, since prepaid sessions are money collected but not yet earned. Three to six months for a six-session package is common. Spell out what happens to unused sessions, whether a client may pause, and how a pause gets requested — that last detail prevents the awkward email nine months later.

Do I have to give refunds if a client stops showing up?

The policy is yours to set, but it is worth nothing unless it is in the agreement. One common structure: delivered sessions are non-refundable, unused ones are credited at the single-session rate rather than the discounted package rate, and a client who vanishes without notice forfeits scheduled sessions under the cancellation clause. Is everything a client tells me confidential?

Contractually yes, if your agreement says so — but coaching confidentiality is not the legal privilege protecting conversations with an attorney or a licensed clinician, and implying otherwise sets clients up for an ugly surprise. Name the limits: a serious risk of harm, a court order, and anything you are required to report where you practice. Add the forgotten ones: that you discuss anonymized cases in supervision, and that in a group program confidentiality depends on the other participants.

Can I record sessions or use a client's results in my marketing?

Those are two separate permissions, and neither belongs in fine print. For recordings, state why you record, where the files live, how long you keep them, who can listen, and give the client a way to decline without losing the session. Using a client's name, photo, or story in marketing needs its own signed release — a photo release form or a model release form lets the client define exactly which channels are allowed.

When should the client sign, and does an online signature count?
